Documentation

The Documentation module has two halves:

  • Document Requests — you ask teams to upload paperwork (insurance, risk assessments…), and review what comes back.
  • Document Library — you publish reference files or external links for teams and crew to open.

Document Requests

1. Create request types

Documents → Document Types → New Request Type:

  • Name and description (e.g. Public Liability — upload your PL insurance).
  • Groups — which groups of teams must supply this document. Every team in those groups automatically gets a request row.
  • Notify emails when files are submitted — comma-separated internal addresses alerted when a team uploads.
  • Notify team on review — email the team’s contacts when their document is approved, rejected, or needs more information.

2. Teams upload

In the Team Portal, teams see each requested document with its status and upload from there. They can add multiple files per request, replace a file, set an optional expiry date, and delete uploads. Accepted types are PDF, Office documents, spreadsheets, images, and ZIP, up to 10 MB each.

Each request tracks two statuses:

Any new upload, replacement, or deletion resets the review status to Unreviewed so nothing slips through unreviewed.

3. Review

From the admin document request pages, reviewers open a modal listing every uploaded file (with inline preview for PDFs and images) and choose:

  • Approve
  • Reject
  • Request information — with a note the team sees in their portal explaining what to fix.

Bulk approve/reject is available, and Download all produces a ZIP of a team’s files named by document type.

Team Approval and the team headline

Each team gets one documentation headline, shown on their Team Overview and the submissions page:

  1. {Team} has Team Approval — an admin has toggled Team Approval on, telling AccredTix to treat the team’s document requirement as complete regardless of individual files.
  2. {Team}’s Documents Are Incomplete — something required still has no upload.
  3. {Team} is Pending Document Approval — everything’s uploaded, but review is outstanding.
  4. {Team}’s Documents Are Approved — all applicable documents approved.

Document status is informational — it doesn’t block accreditation approvals elsewhere in AccredTix. Enforcement is your operational call.

Document Library

Documents → Library publishes reference material to your teams and crew.

Add Document and choose the source:

  • File Upload — stored securely and downloaded from the library.
  • External Link — a Google Drive, Dropbox, or similar URL that opens in a new tab, listed alongside files like any other item.

Then set Who can access this document?:

  • Team Managers and/or People (crew) — at least one must be on.
  • Optionally Limit to Groups and/or Limit to Teams to narrow it further.

Matching users see the item in their portal’s document library section.

To change a file, delete the item and re-create it — editing covers the name, audience, and link URL only.
