The Team Portal

The Team Portal is the supplier-facing front end of AccredTix. It gives each team a focused, branded workspace to manage their own people, guests, meals, rooms, vehicles, and documents — without ever touching your admin dashboard. Everything a team does in the portal lands instantly in your event data, ready for your approval workflows.

Who can access it

  • Team contacts — the team’s managers/HODs, invited via welcome email. They sign in with a magic link (no password) and can only open their own team’s portal.
  • Your event staff — dashboard users with team frontend access can open any team’s portal, which is handy for previewing exactly what a team sees or helping them over the phone.

Contacts with access to several teams or events pick a destination from the sign-in hub; a contact with just one team lands straight in it.

What teams see

The portal has its own standalone layout with your event branding — logos, colours, and background from the Event Brand Kit. The sidebar shows only the modules enabled for that team (group defaults, fine-tuned per team in the team’s Configuration tab), so a caterer’s portal can look completely different from a security contractor’s.

The Home section shows the landing page you’ve chosen for the team — content you control under Settings → Pages. Every module section also carries its group’s Info Page at the top, so instructions always sit next to the task.

What teams can do, section by section

People (Accreditation)

The team manages its own crew list: Add Person, edit, delete, Bulk Upload from a spreadsheet (names, emails, roles, and pass types in one file), and Assign Pass in bulk. Status pills track each pass — Approved, Pending, Rejected, Collected — and, if you’ve enabled it, teams can see their remaining allocation while assigning. Search plus Copy/Excel/PDF exports are built in.

Guest List

Add Guest with ticket quantities against the team’s allocation, edit a guest’s tickets, and watch approval statuses update. The remaining count per ticket type is always visible.

Catering

The person-by-meal matrix — tick who needs which meal, within the team’s allowed meals and caps. A matrix-style bulk upload handles big crews, and redeemed meals lock automatically.

Accommodation

Teams see only hotels where they hold room-night allocations, with allocated / assigned / remaining totals and deadlines. They assign rooms — property, stay dates, occupancy, guests — and bookings confirm immediately. Edits and cancellations are allowed until deadlines pass (if you’ve enabled team edits in Accommodation Settings).

Vehicles

Teams register their own vehicles against your vehicle pass types, entering exactly the fields each pass type asks for. Requests arrive in your Approvals queue. Spreadsheet bulk upload included.

Document Submissions & Library

Teams upload requested documents (add, replace, delete files; optional expiry dates), see review outcomes including any “needs information” notes, and open the reference files and links you’ve published to them.

H&S Inductions

Contacts see their people’s induction status so they can chase their own crew before show days.

Forms, News Feed & Knowledge Base

Eligible forms appear for the team to complete, published news posts show in their feed (pinned items first), and your knowledge base pages appear as a browsable tree in the sidebar.

Things worth knowing

  • Teams stay in their lane. A contact can never see another team’s data, and anything you’ve disabled for the team simply doesn’t exist in their portal.
  • Bulk uploads can’t leak. Portal spreadsheet imports always belong to that team and event — even if the file contains a Team or Event column, it’s ignored.
  • Approvals stay with you. Teams request; you approve, collect, and check in from the admin dashboard.
  • Preview before inviting. Open a team’s portal yourself to check branding, page copy, and module setup before the welcome emails go out — reviewing page content is one of the “Good next steps” for exactly this reason.
